Terms of Service

1. Introduction

These Terms of Service ("Terms") govern your use of Wheel Nova Childcare services and website. By enrolling your child in our services or using our website, you agree to be bound by these Terms.

2. Our Services

2.1 Childcare Services

Wheel Nova Childcare provides professional childcare services including:

  • Baby care (6 months - 2 years)
  • Toddler care (2 - 3 years)
  • Preschool programs (3 - 5 years)
  • After school care
  • Holiday programs
  • Nutritious meals and snacks

2.2 Operating Hours

  • Monday - Friday: 7:30 AM - 6:00 PM
  • Saturday: 8:00 AM - 4:00 PM
  • Sunday: Closed
  • Bank holidays: Closed (unless otherwise notified)

3. Enrollment and Registration

3.1 Registration Process

To enroll your child, you must:

  • Complete all required registration forms
  • Provide necessary documentation (proof of identity, medical records)
  • Pay the required registration fee and deposit
  • Attend a pre-enrollment meeting

3.2 Age Requirements

Children must be at least 6 months old to enroll in our services. Maximum age varies by program.

4. Fees and Payment

4.1 Payment Terms

  • Fees are payable monthly in advance
  • Payment is due by the 1st of each month
  • Late payment fees apply after 7 days
  • We accept bank transfers, debit cards, and childcare vouchers

4.2 Fee Adjustments

We reserve the right to adjust fees annually with 30 days' written notice to parents.

4.3 Refund Policy

  • No refunds for absences due to illness (child or family)
  • No refunds for family holidays
  • Emergency closures: fees may be credited to the following month

5. Attendance and Absences

5.1 Regular Attendance

Regular attendance is important for your child's development and routine. Please notify us of any planned absences in advance.

5.2 Illness Policy

  • Children with fever, vomiting, or diarrhea must stay home
  • Children must be symptom-free for 48 hours before returning
  • We may require a doctor's note for certain illnesses
  • If a child becomes ill during care, parents will be contacted immediately

6. Drop-off and Pick-up

6.1 Authorized Persons

  • Only authorized persons may collect children
  • Photo identification is required for unfamiliar authorized persons
  • Changes to authorized persons must be made in writing

6.2 Late Collection

Late collection fees apply after our closing time. Repeated late collections may result in termination of services.

7. Health and Safety

7.1 Medical Information

  • Parents must provide complete medical information
  • All medications must be in original containers with clear instructions
  • We maintain first aid qualified staff on premises
  • Emergency medical treatment will be sought if necessary

7.2 Accidents and Incidents

All accidents and incidents are recorded and reported to parents immediately. Serious incidents are reported to relevant authorities as required by law.

8. Behavior and Discipline

8.1 Positive Behavior Support

We use positive reinforcement and age-appropriate guidance to support children's behavior development.

8.2 Challenging Behavior

We work with parents to address challenging behavior. In extreme cases, we may require additional support or consider whether our services are appropriate for the child's needs.

9. Personal Belongings

  • All items should be clearly labeled with the child's name
  • We are not responsible for lost, damaged, or stolen items
  • Toys from home should be discussed with staff first
  • We provide all necessary play and learning materials

10. Communication

10.1 Daily Communication

We provide daily feedback about your child's activities, meals, and development.

10.2 Parent Meetings

Regular parent meetings are scheduled to discuss your child's progress and development.

11. Termination of Services

11.1 By Parents

Parents may terminate services with 4 weeks' written notice. Fees are payable for the full notice period.

11.2 By Wheel Nova Childcare

We may terminate services with immediate effect if:

  • Fees remain unpaid after the due date
  • Terms of service are violated
  • Abusive or threatening behavior toward staff
  • Child's needs cannot be safely met

12. Data Protection

We process personal data in accordance with UK data protection laws. Please refer to our Privacy Policy for detailed information.

13. Complaints Procedure

We aim to resolve all concerns promptly and fairly. Our complaints procedure is available upon request and follows Ofsted guidelines.

14. Liability and Insurance

We maintain comprehensive insurance coverage and follow all regulatory requirements. Our liability is limited as permitted by law.

15. Force Majeure

We are not liable for failure to provide services due to circumstances beyond our control, including but not limited to natural disasters, government orders, or public health emergencies.

16. Changes to Terms

We may update these Terms from time to time. Significant changes will be communicated to parents with appropriate notice.

17. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes will be resolved in the courts of England and Wales.
